Meetup guidelines

We want to make every Meetup a special experience for both organizers and attendees by following these guidelines:

  • Community Focus: Meetups prioritize community benefit over private or commercial interests. Our efforts as organizers should add value to the community.

  • Inclusive Participation: Anyone can participate, regardless of their background, experience, education, or other criteria.

  • Volunteer-Driven: Meetups are organized and presented by volunteers without any compensation. For in-person events, small contributions may be collected only if necessary, such as to cover venue costs.

  • Open Participation: We welcome everyone to take on organizational roles, and we encourage participation and fresh ideas.

  • Welcoming Environment: At Shopware Meetups, we foster a welcoming culture that promotes a hate-free, violence-free, discrimination-free, and respectful atmosphere.

In essence: Be friendly and open. Meetups are not commercial. Participation is always encouraged!

Each Meetup is featured on our website in a dedicated listing, including a description of the agenda, a link to the organizer's website, and participant registration. For in-person events, we provide location details; for virtual ones, participants receive the link to the meetup after registration.

A standalone newsletter will be sent about four weeks before each Meetup to a local group of interested recipients, assuming we have the final program details. Additionally, all Meetups will be consolidated and featured in our regular newsletters

Whenever possible, a Shopware employee will participate in a Shopware Meetup to provide first-hand knowledge and support.

When you create a Facebook event for your Shopware Meetup, we're happy to act as your co-host and share the event on our Facebook page.

On request we can lend you a rollup or posters, stickers, brochures, pens, notepads and other marketing materials.

Central registration of participants

Central registration of participants

For in-person Meetups, we will set up the registration for your event, and you can access and analyze the data using your own account at any time. For virtual Meetups, we provide a Zoom meeting room and we can share the login information at any time upon request.

Requirements for Shopware Meetups

  • Each Shopware Meetup centers around a predefined topic with two qualified speakers. Without a fixed programme featuring two impulse presentations, we will not be able to promote your event.

  • We ask that you actively promote the Meetup on your channels in order to achieve the maximum possible visibility.

  • After the event, participants should receive materials and information on the presentations, with the organizer responsible for coordination.

  • The community approach is emphasized, with a maximum of 6-8 annual Meetups per location. If there are requests from several organizers, a mutual solution should be found to organize the Meetup in cooperation.

  • For in-person Meetups, organizers independently handle location, technology, speakers, and other logistics.
